Wild & Weeds Booking Conditions Version 1.1 | January 2026

1. About These Terms

These Terms and Conditions form the legal agreement between you (the “Customer” or “Participant”) and Wild & Weeds, operated by Bex Northman (the “Business” or “We”). By making a booking, you agree to be bound by these terms.

We provide expert-led foraging walks and herbal remedy workshops across Cumbria, Northumberland, and the Scottish Borders.

3. Services We Provide

3.1 Foraging Walks
Our foraging walks include:
– Expert guidance on identifying wild edible plants
– Hands-on foraging experience in woodland or coastal terrain
– Duration and specific inclusions as stated in the event description

3.2 Herbal Remedy Workshops
Our workshops include:
– Instruction on creating traditional herbal remedies
– All materials needed for the workshop
– Products you create to take home
– Duration and specific inclusions as stated in the workshop description

3.3 What’s NOT Included Unless specifically stated: – Transport to and from the event location – Personal equipment (appropriate clothing, footwear, water bottle) – Meals or refreshments (unless specified for the event) – Insurance for personal belongings

4. Booking Process

4.1 How to Book Bookings can be made: – Online through our website – By email to info@wildandweeds.co.uk

4.2 Booking Confirmation Once we receive your booking and payment: – You will receive a confirmation email within 24 hours – The confirmation will include event details, location, and what to bring – If you do not receive confirmation, please contact us immediately

4.3 Minimum Participant Numbers Some events require a minimum number of participants to run (typically 4 people). If we do not reach the minimum: – We will contact you at least 7 days before the event – You will be offered a full refund or a place on an alternative event

5. Payment Terms

5.1 Pricing – All prices are in GBP (pounds) and include VAT where applicable – Prices are as displayed on our website or confirmed in writing at the time of booking

5.2 Payment Methods We accept payment by: – Credit or debit card (via secure online payment) – Bank transfer – Other methods as agreed in writing

5.3 Payment Schedule – Full payment is required at the time of booking for most events – Deposit bookings: For certain events or courses, a deposit may be required with the balance due 14 days before the event date

5.4 Non-Payment If full payment is not received by the due date, we reserve the right to cancel your booking and offer your place to another participant.

6. Cancellation and Refund Policy

Please see our separate Cancellation and Refund Policy for full details. In summary:

6.1 Cancellation by You – More than 4 weeks before the event: Full refund or reschedule – 2-4 weeks before the event: 50% refund or reschedule – Less than 2 weeks before the event: No refund

6.2 Cancellation by Wild & Weeds We may need to cancel an event due to: – Dangerous weather conditions – Instructor illness – Insufficient participant numbers

If we cancel, you will receive either: – A full refund, OR – A place on an alternative, equivalent event

7. Your Responsibilities

7.1 Health and Safety Information You must: – Complete the Participant Health & Consent Form accurately and honestly – Disclose any allergies, medical conditions, or mobility issues that may affect your participation – Inform us immediately if your health status changes before the event

7.2 Age Requirements – Participants must be at least 16 years old unless otherwise stated – Under 18s must be accompanied by a participating adult – Some events may have different age requirements (as stated in the event description)

7.3 Appropriate Clothing and Equipment You must arrive with: – Appropriate outdoor clothing for the weather – Sturdy, waterproof footwear (wellies or hiking boots) – Water and any personal medications you may need – Any other items specified in your confirmation email

7.4 Punctuality – Please arrive at the meeting point 10 minutes before the start time – If you are running late, please contact us immediately (details provided in your booking confirmation) – We cannot wait for late arrivals and no refund will be given for missed events due to lateness

7.5 Behaviour You agree to: – Follow all safety instructions given by the guide – Respect other participants and the natural environment – Not attend under the influence of alcohol or drugs – Behave in a manner that does not endanger yourself or others

We reserve the right to exclude any participant whose behaviour is inappropriate, dangerous, or disruptive. No refund will be given in such cases.

8. Our Responsibilities

8.1 What We Promise We will: – Provide the service as described in your booking confirmation – Ensure our guides are knowledgeable and experienced – Conduct appropriate risk assessments for all activities – Maintain public liability and professional indemnity insurance – Take reasonable care for your safety during our events

8.2 What We Don’t Guarantee We cannot guarantee: – Specific weather conditions – The presence of particular plant species (nature is unpredictable) – That all participants will forage the same quantity of food – Outcomes from using wild remedies you create

9. Liability and Insurance

9.1 Our Liability Wild & Weeds maintains: – Public Liability Insurance (5 million pounds) – Professional Indemnity Insurance

Nothing in these terms excludes or limits our liability for: – Death or personal injury caused by our negligence – Fraud or fraudulent misrepresentation – Any matter for which it would be illegal to exclude liability

9.2 Limitation of Liability Subject to section 9.1, our liability for any other loss or damage is limited to the price you paid for the event.

We are not liable for: – Loss or damage to your personal belongings – Injury or illness resulting from pre-existing medical conditions you failed to disclose – Injury resulting from your failure to follow safety instructions – Allergic reactions to plants (when you have disclosed allergies and we have advised accordingly)

9.3 Your Insurance We strongly recommend you have: – Personal accident insurance – Travel insurance (if traveling from outside the local area) – Your own public liability insurance if you wish

10. Health and Medical Disclaimer

10.1 Not Medical Advice The information provided in our workshops is for educational purposes only and is based on traditional herbal knowledge and folklore.

We do not provide medical advice, diagnosis, or treatment.

10.2 Use of Remedies Any herbal remedies you create: – Are your own responsibility to use safely – Should not replace professional medical advice – May cause allergic reactions or interact with medications

You must consult a qualified healthcare professional before using any herbal remedy, especially if you are pregnant, breastfeeding, taking medication, or have any health conditions.

10.3 Foraging Safety All plant identification guidance is given in good faith based on expert knowledge. However: – You are responsible for your own plant identification – Never consume anything you are not 100% certain about – If in doubt, don’t eat it

11. Intellectual Property

All content provided during walks and workshops, including: – Handouts and recipe sheets – Photographs and videos – Teaching materials

Remains the intellectual property of Wild & Weeds. You may use these for personal reference only and may not reproduce or distribute them commercially.

12. Photography and Marketing

12.1 Use of Images We may take photographs during events for marketing purposes. If you do not wish to be photographed, please inform us at the start of the event.

12.2 Your Images You are welcome to take photographs during events for personal use. If you wish to use images for commercial purposes, please ask permission first.

13. Force Majeure

We are not liable for failure to provide the service due to circumstances beyond our reasonable control, including: – Extreme weather (storms, flooding, snow, high winds) – Natural disasters – Pandemics or public health emergencies – Government restrictions on outdoor gatherings

In such cases, we will offer a reschedule or refund.

14. Data Protection

We process your personal data in accordance with our Privacy Policy. Please read this carefully to understand how we collect, use, and protect your information.

15. Changes to These Terms

We may update these Terms and Conditions from time to time. The version in effect at the time of your booking will apply to your event.

16. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
